Attendee Hotel Reservations

A block of hotel rooms has been reserved for NAFA’s 2024 Institute & Expo (I&E) attendees at discounted rates. All hotels are within walking distance of the Henry B. Gonzalez Convention Center.

The deadline to book a room in the NAFA I&E housing block is March 15, 2024.

The deadline to reserve a hotel room in the NAFA discounted hotel block is March 15, 2024.

There are a limited number of government rate hotel rooms available. You must bring qualifying documentation to present to the hotel upon check in. Without qualifying documents room rate will be changed to prevailing rate.

All reservations must be received by March 15, 2024, to guarantee availability and discounted room rates. After this date, reservations will be made based on availability and hotels may charge higher rates. When booking your hotel accommodations, you must provide a valid credit card number to guarantee payment. Hotels will charge the non-refundable deposit of one night’s room & tax on or after March 15, 2024. This deposit will be applied to each guest’s folio upon check-in. Cancellations after March 15, 2024, hotels will charge the non-refundable deposit of one night’s room & tax. Through April 11, 2024 you may process changes and cancellations online or in writing to Orchid Events via e-mail help@orchid.events. After April 11, 2024 contact hotels directly to make changes and cancellations.

All reservations must be received by March 15, 2024, to guarantee availability and conference rates. After this date, reservations will be made based on availability and hotels may charge higher rates.

Government Rate Hotel Rooms: There are a limited number of government rate hotel rooms available. To book government rooms, contact Orchid Events at Toll-free: 800-572-9707 or email help@orchid.events. You must bring qualifying documentation to present to the hotel upon check in. Without qualifying documents room rate will be changed to prevailing rate.

Acknowledgments: Orchid Events will send reservation acknowledgements within 24 hours via email if booked online or by telephone. If you do not receive your acknowledgement in this time frame, contact Orchid Events. You will not receive a written confirmation from the hotel.

Deposit: All reservation requests must be accompanied by a credit card guarantee for each room reserved. Your credit card WILL NOT BE CHARGED during the initial booking and will be held as a GUARANTEE only. Hotels WILL charge a one-night, non-refundable deposit on or about March 15, 2024.

Attendee Cancellations & Changes: When booking your hotel accommodations, you must provide a valid credit card number to guarantee payment. Hotels will charge the non-refundable deposit of one night’s room and tax on or about March 15, 2024. This deposit will be applied to each guest’s folio upon check-in. Please note that if you cancel after March 15, this deposit will not be refunded. In the event you check out of your hotel room prior to the reserved check-out date, the hotel may add an early departure fee to your guest folio. If you wish to avoid an early check out fee, please advise the Hotel at or before check-in of any change in planned length of stay. Need to book 10 or more rooms?

Room Blocks Deadline: All rooming lists must be accompanied by individual credit card guarantee for one night’s room and tax deposit by March 15, 2024. Tax is currently 16.75%, 1.25% TPID Fee, and $2.54 SCRF (subject to change). Reservations received without a valid guarantee/deposit will not be processed and rooms will be released.

Room Block Cancellations: Cancellations and changes to the names of occupants or arrival and departure dates must be made directly with Orchid Events. Hotels will charge the non-refundable deposit of one night’s room & tax on or after March 15, 2024. Please note that if you cancel after March 15, 2024 this deposit will not be refunded. Cancellations and changes should be made online or emailed to help@orchid.events. In the event you check out of your hotel room prior to the reserved check-out date, the hotel may add an early departure fee to your guest folio. If you wish to avoid an early check out fee, please advise the Hotel at or before check-in of any change in planned length of stay.

 

Poaching and Piracy-Be Aware!

Hotel piracy is when companies and groups who ARE NOT affiliated with NAFA contact you and to book hotels in the NAFA conference block. Orchid Events is the ONLY official housing company for I&E. Booking through Orchid Events, ensures you will be working with a reputable company, that your credit card information is secure, and that you will benefit from all services provided to conference attendees at the official hotels. Reservations made through any agency other than Orchid Events will be at your own risk.

Companies that contact attendees and exhibitors with fraudulent offerings of hotel rooms at significant discounts are commonly referred to as “housing pirates” or “housing poachers.” These companies often misrepresent themselves by illegally using the NAFA logo. Lured by highly attractive rates, exhibitors and attendees fall prey to these imposters losing significant deposits, discovering hidden costs, credit cards charged in full at the time of reservation, or not providing the hotel reservations promised.
